Clarity integrates with several accounting/financials systems. In this article, we will go over how to set up your general ledger within Clarity. If you are using a system that we do not currently integrate with, please contact us! It is possible that it is listed under a different name, or it is compatible with our standard export interface. We also welcome new integrations to be built!
Select G/L export interface
1. From Setup > Preferences > Interfaces tab > select the Standard G/L detail from the drop down list ( Exported file using this selection will include the cheque number) > Save
NOTE: User can select the Standard G/L summary (this will not include the cheque number)
The selection interface is based on what information the client needs to export.
2. Export G/L after payroll post.
3. Select the report criteria: select the date range, groups to include
4. Select the location and the file name. Here you can export into a .txt file or a .csv file
In The G/L parameters you can see the interface parameters. The “Employee identification” parameters by default is the <Employee number>.
On the next screen select the paycards to be exported.
By default the “Include non- exported paycard” checkbox is checked and the “Selected” column will show a checkmark beside of the paycard.
If the paycards were already exported the “Exported” column will have a checkmark beside of the paycard. If you want to export them again place a checkmark beside of “Include exported paycards” checkbox. Also, a warning will inform the user that the paycards were already exported.
After completing the selection criteria the user can “Preview” the file that will be created.
The user can see the GL report and print it.
The user can create the file by click on “Export”. At the end of the process the user can locate the file and open it with the notepad.
Pre-Requisites
- Know what financials system you are using & confirmed with Paymate that Clarity is integrated with it
- Know your chart of accounts / general ledger accounts
- Have posted at least one payroll
Setting Up Your General Ledger Accounts
- In Clarity, navigate to Setup > General Ledger Settings > G/L Accounts > 'List' tab.
- Double-click on the department that you want to add general ledger accounts for. You will automatically be redirected to the department's 'GL Accounts' tab.
- Enter the correct account numbers into the corresponding "Debit Account Number" and "Credit Account Number" columns.
- Click the checkmark icon to save your changes.
- Repeat steps 2 through 4 for each department that you have a general ledger account for.
Selecting Your Default General Ledger Interface
- In Clarity, navigate to Setup > Preferences > 'Interfaces' tab.
- In the General Ledger Settings section, select your "Default Export Interface" from the dropdown field.
- You can also optionally checkmark any of the other checkboxes: "Use code finder", "My GL accounts are same for all department(s)", "Use GL accrual method", "Always show units in cost allocation".
- Click the checkmark icon at the top-right corner of the window to save your changes.
Exporting Your General Ledger Entries
Note: You will only be able to export your general ledger entries if you have posted the payroll and committed it to history!
1. In Clarity, navigate to Payroll > Export > Export to G/L Special > 'Method' tab.
2. Select the correct Export Method.
3. Navigate to the 'Export Parameters' tab.
4. Select the correct Groups to Include.
5. Select the correct Date Range.
6. Navigate to the 'Preferences' tab.
7. Select the correct Application of Date Range.
8. Select the Destination of where you would like to export the file and enter the "Export File Name". If the integration is seamless, you do not need to enter this information (it will specify in the name of the GL export if it is seamless).
9. Select the correct "Batch Date".
10. Apply any Controls as required.
11. Navigate to the 'GL Parameters' tab.
12. Enter any additional parameters as required, such as any "Memo" or how you want to identify your employees.
13. Click "Next →" to continue. You will be brought to the 'Paycards List' tab.
14. Select the paycards you want to export. If you want to include already-exported paycards, checkmark the appropriate checkbox. If you want to include non-exported paycards, check the appropriate checkbox.
15. Click "Preview" to preview the file that will be created, or click "GL Report" to view the GL report.
16. Click "Export" to export the file. Your file will be downloaded to the destination you set in step #8 above.
Note: You can open your exported file in Notepad to verify the information in there. Even if the exported file is a .CSV file, we strongly recommend using Notepad, as opening the file in Microsoft Excel can alter the data.
Tip: If you are using the standard GL detail export interface, the exported file will include the cheque/check number. If you are using the standard GL summary export interface, the exported file will not include the cheque/check numberNOTE: .csv files can be open with the Notepad or Excel. It is highly recommended to open the file using Notepad as the Excel can alter the file information.
