There are several methods for employees to clock in and out of Harmony's Time & Attendance module, including manually entering time, importing a file, using Harmony's built-in clock bar, and terminals. A terminal is a 'time clock' in which your employees can use a six-digit PIN to clock in and out, very similar to a hardware time clock! Please note that the device in which you use the terminal on must have constant internet connection.
Pre-Requisites
- The Time & Attendance module is set up, including shifts, projects/tasks/activities, breaks, and employees.
- You have a device that is always connected to the internet
Setting Up a Terminal Record
- Navigate to Setup > Terminal.
- Click the "+ New" button to create a new terminal.
- Enter the required fields.
- "Code" is the unique short name for the terminal record.
- "Name" is the long name for the terminal record.
- "Default Location" identifies the default location of the terminal or employee who will be using the terminal.
- "Default Task" identifies the default task/activity of which an employee will use to clock in. If the employee has a different default task/activity in their T&A preferences, this field will not apply. If the employee has more than one task/activity assigned, they will have the option to change what they are working on after logging into the terminal.
- Identify additional setup items as required.
- "Show Location" - enabling this option will show the location to the employee who is clocking in.
- "Allow Employees to Change Location" - enabling this option will allow the employee to change their location when clocking in.
- "Allow Employees to Write a Note" - enabling this option will allow the employees to enter a note when clocking in (text field). If enabling this option, ensure that the device you use has a keyboard that is allowed to be used.
- "Description" - a description of the terminal record.
- On the right-side, additional options are available.
- In the 'Assign' tab, you can assign employees who are allowed to use this terminal.
- A six-digit numerical PIN will be automatically generated for all assigned employees. You may click the edit button to edit this PIN if required. Please note that each PIN must be unique within the terminal record.
- Use the toggle provided to show or hide the PIN.
- You can click the "Send PIN to assigned employees" button to send an email containing the terminal PIN to all assigned employees.
- In the 'Messages' tab, you can set up messages that are displayed on the terminal.
- The "Welcome Message" will be shown at the top of the terminal.
- The "Clock In Successfully Message" will be shown as a pop-up after the employee successfully clocks in.
- The "Clock Out Successfully Message" will be shown as a pop-up after the employee successfully clocks out.
- In the 'Employee Notifications' tab, you can set up notifications to pop up to an employee when they log into the terminal.
- Click the "+ New" button to create a new notification.
- Enter the required fields.
- "Period From" identifies the date of which this notification will begin showing for the assigned employees.
- "Period To" identifies the date of which the notification will stop showing for the assigned employees.
- "Message" is the message of which will be shown to employees.
- Identify who should receive this message on the right side of the window.
- Click the save button to save your changes.
- In the 'Assign' tab, you can assign employees who are allowed to use this terminal.
- Click the save button to save your changes.
Using a Terminal On a Device
- Navigate to Setup > Terminal.
- Select the terminal record you want to use on your device.
- In the "URL" field, copy the link and paste it in a browser on your device. The terminal will appear automatically.
Note: You may use the same link on multiple devices, if required. Simply paste the same link for each device.
Using a Terminal
- In the terminal, use the number pad to log in.
- Any employee notifications will pop up. You may also click the "You have X notifications" button to view any notifications.
- If you are not currently clocked in, select the correct task/activity that you are working on. If you are allowed to change the locations, you may change this field too. Click the "CLOCK IN" button to clock in.
- If you are already clocked in:
- If eligible to take breaks, click the "BREAKS" button to select and take a break by clicking "START BREAK". Once you are finished with your break, you may click the "FINISH BREAK" button to resume your working time.
- If assigned to more than one task/activity, click the "SWITCH" button to switch the task/activity that you're working on.
- Once you're finished with your shift for the day, click "CLOCK OUT" to clock out and stop your working time.
- If eligible to take breaks, click the "BREAKS" button to select and take a break by clicking "START BREAK". Once you are finished with your break, you may click the "FINISH BREAK" button to resume your working time.
- Click "LOG OUT" to cancel any action and log out. The terminal is ready for the next employee to log in.
